By using the App, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
1.1 Active Users
We use Apple’s standard App store analytics to understand user retention metrics via log-ins. This data cannot be linked back to individual users and is collected automatically to operate the App.
1.2 Companion Development Consent - Opt in Required
Honestum Labs ONLY collects information IF a user explicitly Opts in to our Companion Development Consent.
For users that have Opted in we collect:

This data is used solely for the improvement of our companions' efficacy.
For transparency, here is the complete technical list of data fields collected when you opt in:

Session Data: session_id, companion, timestamp, flow_state, environment

Query Content: query (your full question), response (companion's full answer), query_type, personal_entities_count, knowledge_terms_count

Performance Metrics: total_ms, memory_phase_ms, embedding_ms, retrieval_ms, prompt_build_ms, generation_ms, ttft_ms

Knowledge Metrics: knowledge_node_ids, knowledge_content, retrieval_confidence, primary_topics, used_foundation_only, sources_count

2. How We Use Your Information

2.1 Companion Accuracy
We use the collected data to improve companion helpfulness by evaluating how responses were generated and identifying improvements to the retrieval, prompt, and use of memory.
3. Data Storage & Security

3.1 On-Device
All data is stored locally on your device using Apple’s swift data.
3.2 What May be Transmitted
Data is transferred between devices via cloudkit. For users who HAVE OPTED IN the fields listed in section 1.2 will be sent and stored in MongoDB.
3.3 Security Measures
We implement industry-standard security measures including:

Transport Layer Security: All data transmitted between your device and our servers uses encryption. Communications between our servers and MongoDB use Private Service Connect to keep connections predictable and isolated from the public internet.

Data at Rest: All data stored in MongoDB is encrypted.

Access Controls: Role-based access controls limit which team members can access what data. All administrative access is logged and monitored.
3.4 Third-Party Services
We may use the following third-party services to operate the App:

Apple Services: App Store, TestFlight, CloudKit

Cloud Infrastructure: MongoDB
Each third-party service operates under its own privacy policy. We select vendors that maintain strong privacy and security standards.

3.5 Data Retention
Non-Identifiable Usage Data: Retained indefinitely in aggregated form for app improvement.
Companion Development Consent: Retained 4 years. At this time there is no way to link a user to their data in MongoDB. This means we cannot enforce forget me as a policy as we don’t know whose data is who. Enabling forget me is a strategic priority for Honestum Labs and on our roadmap.

4. Sharing Your Information

4.1 General Policy
We do not sell, rent, or trade your information to third parties. We do not use your data for advertising or marketing purposes.

4.2 When We May Share Information
We may share your information only in the following limited circumstances:
Legal Requirements: Only when compelled by valid legal process (court order or subpoena). We do not voluntarily cooperate with informal requests. Our privacy-by-design architecture anonymizes data such that we cannot link most data to individual users, which significantly limits what we can disclose. Where legally permitted, we will notify affected users and may challenge overly broad requests.
Business Transfers: If Honestum Labs is acquired, merged, or sells assets, user information may be transferred as part of that transaction. We will notify users and provide options before any such transfer.
Service Providers: With vetted third-party vendors who help us operate the App (hosting, analytics, etc.), bound by confidentiality agreements and limited to necessary use only.
Partners: Fully anonymized data may be shared with Tier 1, 2, and 3 partners for the sake of companion improvement.

5. Your Privacy Rights

5.1 Access & Control
Toggle off "Companion Development Consent" in App Settings. New collection stops immediately. Previously collected data cannot be deleted (see Section 3.5)

5.2 Data Loss Warning
CRITICAL: Beta versions may contain bugs that result in data loss. Do not rely on this app to store important information during the beta period. We will make reasonable efforts to preserve data but cannot guarantee data persistence between beta versions or during the transition to production release. Back up any important information externally.

5.3 Beta Program Termination
We reserve the right to:

Terminate your beta access at any time without notice

Modify or discontinue features during beta testing

Determine which beta testers transition to the commercial product (no guarantee of continued access)

6. Children's Privacy
The App is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are under 13, do not use the App or provide any information.

7. Crisis Resources
If experiencing mental health emergency: Call/text 988 (Suicide & Crisis Lifeline) or 911. This app is not monitored and cannot respond to emergencies.
8. Limitation of Liability

8.1 Beta Software Disclaimer
THE BETA APP IS PROVIDED "AS IS" WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED.TO THE MAXIMUM EXTENT PERMITTED BY LAW, HONESTUM LABS DISCLAIMS ALL WARRANTIES INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

HONESTUM LABS SHALL NOT BE LIABLE FOR ANY DAMAGES ARISING FROM USE OF THE BETA APP, INCLUDING BUT NOT LIMITED TO:

Data loss or corruption

Device damage or performance issues

Health-related outcomes or decisions

Interruption of service or loss of functionality

Any indirect, incidental, consequential, or punitive damages

8.2 Not a Medical Device
This app is not a medical device and has not received FDA clearance or approval. It is in development as a potential future digital therapeutic but should not currently be used for clinical decision-making.

9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
Notification of Changes:

For material changes, we will notify with an in-app notification

Continued use of the App after changes constitutes acceptance of the updated policy
10. Legal Jurisdiction
This Privacy Policy is governed by the laws of Delaware, United States, without regard to conflict of law provisions. For disputes arising from this Privacy Policy, you agree to jurisdiction in Delaware courts.
